Terms of service
The terms between OnCaze and each law office that uses it. They are short on purpose: every promise here describes what OnCaze actually does.
Draft. A lawyer is reviewing this text, and it may change before OnCaze opens to offices. Version .
1. Who may use OnCaze
OnCaze is offered only to law offices led by a licensed attorney or an accredited representative, and to the staff they supervise. It is not offered to form preparers who are not lawyers. The office is responsible for everything its users do in OnCaze and for keeping their passwords and sign-in codes private.
2. OnCaze helps; the office decides
OnCaze is software. It is not a law firm and gives no legal advice. Its rules, checks, suggestions, translations, summaries and the answers of its client assistant are aids that may contain mistakes. The office reviews them, decides what to use and is responsible for its advice, its filings and its deadlines. An attorney reviews and signs off every filing package before it can be downloaded.
When a form, a fee or an agency's instructions change, OnCaze tries to show it quickly, but the office remains responsible for using the current version.
3. AI in OnCaze
OnCaze uses AI services to run the client assistant, read documents the office chooses and check and translate office notes. Those services keep a request no longer than needed to answer it, and never more than 30 days, they may not use it to train AI, and they run in the United States.
Before any text is sent to an AI service, Social Security, ITIN, A-number, passport, receipt and bank account numbers are hidden. When the office asks the AI to read a document image, it sees the page as it is, including any numbers printed on it.
Nothing the AI suggests goes into a case until staff accept it, and nothing goes on a form without OnCaze's own checks. The assistant tells clients it is a computer program, not a lawyer.
4. Your office's data
- It belongs to the office. OnCaze keeps it and works on it only to provide the service, following the office's instructions.
- No selling, no training. We don't sell it, share it for advertising or use it to train AI.
- In the United States, encrypted in transit and where it is stored, with secret numbers encrypted again with a key that belongs to the office alone.
- Kept apart. No other office can see it. OnCaze staff don't browse it; support sees the office only while the office allows it, only to read, and the office sees every page support opens.
- Backups are kept for up to 35 days, then deleted.
- Export at any time. The office can download any case's complete file, for example when a client changes lawyers.
- Leaving. After the office closes its account it has 30 days to take its data out. Then OnCaze deletes it, and backup copies expire within 35 days more.
5. The office's clients
The office gets each client's consent to use the assistant, to record voice sessions and to receive messages, and OnCaze keeps those features off until the consent is recorded. OnCaze supplies plain wording for the engagement letter and shows clients a short privacy notice in their language before the first interview.
6. Government accounts
OnCaze never signs in to myUSCIS, ECAS or any other government account, and never asks for or keeps their passwords or sign-in codes. The office will not use OnCaze in ways those systems' terms forbid, such as sharing an attorney's login or creating client accounts with emails the office controls.
7. Security and incidents
OnCaze protects the service with reasonable security measures, including those described in section 4, sign-in with an authenticator code for staff, and records of changes, openings and downloads that can't be erased. If we confirm a security incident that affects the office's data, we tell the office within 72 hours, with what happened, what we are doing and the information it needs for its own notices.
8. Companies that help us
A few companies help us run the service, such as hosting, AI, email and text messages. Each office receives the list, with what each company does and where, and we give 30 days' notice before adding one. An office that objects may cancel.
9. Requests from authorities
If an authority asks us for an office's data, we tell the office unless the law forbids it, and give only what the law requires.
10. Responsibility between us
Each side's total responsibility under these terms is limited to the fees the office paid in the 12 months before the claim, and neither side is responsible for lost profits or indirect damages. These limits don't apply to breaches of confidentiality or of our security duties, or to fraud. The office answers for claims arising from its legal work, its filings and its clients' consent; OnCaze answers for claims that its software infringes someone else's rights and for its own breach of its security duties.
11. Changes, law and contact
We give 30 days' notice of any change to these terms, and an office that disagrees may cancel. These terms follow Florida law. Questions: hello@oncaze.com. See also the privacy notice.
